An effective data protection plan includes routine backups. Should a hard drive become inaccessible, Windows and Mac recovery success is improved if data is consistently backed up; missing data can be retrieved from the most recent backup.
There are at least four methods of data protection that can be used separately or in conjunction with each other. Normal backup routines are familiar to most computer users. However, there are three other methods to consider: file and folder synchronization, system image backup and bootable clone drive creation. Each serves a different function, but all will assist in quick hard disk data recovery.
Normal Backup Routines
When a normal backup routine is implemented, the important user data on the computer’s hard drive is copied to another location where it is compressed and encrypted. Backup locations can be on secondary hard drives, on external hard drives or on remote servers. Backing up to several locations protects the data even more efficiently. The same software that backed up the files is used to retrieve them.

File and Folder Synchronization
While not a backup routine, strictly speaking, file and folder synchronization can be used as a form of data protection. In synchronization, files and folders on one computer are duplicated on another computer. For example, the office desktop computer can be synchronized with a laptop computer. When the sync program is run, the most recently edited and saved files are stored on each computer. One advantage of this procedure is seen when one or the other computer crashes. Work can continue on the working computer. When the damaged computer is repaired or replaced, the files can again be synchronized.
System Image Backup
A built-in feature of Windows 7 is the system image backup. Other software programs can also perform this same function. A system image is a backup of the operating system, program files and system settings. The system image is performed less frequently than a data backup. It should be done whenever the user installs new software or makes significant changes to the hard drive. The system image backup is normally stored on an external hard drive. It must be retrieved using a repair disk and the process can take several hours. This process will recover hard drive operations.
Bootable Clone Drive
A bootable clone routine copies all of the data on the main drive, bit by bit, and places it on a second drive. A dedicated external hard drive should not be used; good choices are secondary internal drives or drives in an external enclosure. If the computer’s hard drive fails, it is not necessary reinstall the system. The damaged drive is replaced by the clone drive and the computer is back in service. Any missing data files are recovered from a recent data backup; therefore, data recovery software is not needed.
